PC Master Race Discord Bot Privacy Policy

1. Information the Bot Processes (Real-Time)

To perform moderation and server utility features, the Bot processes the following data in real-time. This data is not stored permanently:

• Message Content: The Bot monitors all messages sent in channels to instantly scan for blacklisted words, malicious links, or harmful text. If no violation is found, the text is instantly discarded from memory and never saved.
  Purpose: This is necessary to keep our community safe, combat spam patterns, and maintain a friendly chat environment in real-time.
• Commands: The Bot processes messages starting with specific prefixes (e.g., !help).
  Purpose: To parse your text command request and instantly trigger the helpful data, resources, or diagnostic lookups you requested.
• User Display Names: The Bot monitors member profile updates to detect profile handle modifications.
  Purpose: To maintain staff visibility over active chat spaces and proactively prevent malicious actors from attempting to impersonate prominent members or community helpers.

2. Information Stored Long-Term (Database)

We minimize permanent data storage. The only data saved to our external database includes:

• Moderation Logs (Bans): When a user is banned from the server via the Bot, we store the Discord User ID and the Ban Reason.
  Purpose: To maintain permanent internal server security histories and establish an verifiable record in the event of future unban appeals.
• Persistent Member Roles: We store a record of your Discord User ID and the specific Role IDs you hold within the server.
  Purpose: Discord natively strips roles when someone leaves a server. We save this mapping securely so that if you ever leave and rejoin our community, the Bot can instantly restore your custom roles and ranks automatically.

3. Short-Term Memory & Caching (Spam Prevention)

To protect the community from malicious automated attacks, the Bot utilizes a temporary cache system:

• Message Hashes: The Bot generates a one-way cryptographic hash of every message sent.
• Retention: These hashes are stored strictly in temporary system memory (RAM) and automatically expire and delete after 4 minutes. We do not store the raw text of your message in this temporary cache.

4. Server-Side Moderation Logging

The Bot mirrors certain moderation events directly back to private staff log channels within the server. This includes:

• Deleted Message Logs: When a message containing a blacklisted word is caught and deleted, the content is captured and passed directly to a secure staff-only text feed.
  Purpose: To maintain a structural record of server infractions and to assist our development team with debugging or fine-tuning filters against false positives.
• Display Name Changes: User display name updates are compiled into an administrative feed.
  Purpose: To help staff track bad actors attempting to change identities rapidly to evade text filters or trigger confusion.

5. Data Sharing and Third Parties

We do not sell, trade, rent, or share any user data with third-party companies, advertisers, or data brokers. Data is used strictly for the internal moderation and operation of the PC Master Race Discord server.

6. Data Deletion and User Rights

Because we do not store message history, IP addresses, or personal identities, the only permanent data we hold are moderation ban records and persistent role maps linked to your Discord User ID.

If you wish to have your User ID, role mappings, and associated ban reasons wiped from our database, please contact the server administration team via the methods listed below.

Please Note: Requesting data deletion will have the following effects:

• It will not lift an active server ban. Wiping moderation logs removes the context of the original infraction, which can make processing a future unban appeal significantly more difficult or impossible.
• It will completely wipe your saved server roles. If you leave and rejoin the server in the future, the Bot will no longer be able to automatically restore your previous roles or ranks.

Because this Bot functions exclusively within the PC Master Race Discord server, its usage is strictly governed by our overarching server rules. We reserve the right to restrict your access to the Bot (or the server entirely) if you attempt to exploit, spam, or reverse-engineer its automated commands.
